Inbox automation

The email is already the order. Stop re-typing it.

Customer purchase orders, quote requests, order-status questions and supplier invoices all arrive the same way: as an email with an attachment. Sales Enact reads them, works out who they are from, and drafts the NetSuite transaction. Your team reviews and posts.

What it handles

Four kinds of email, one review queue

Customer purchase orders

Drafted as NetSuite sales orders. Requested lines are matched to your catalogue, priced at the customer's price level, given a ship date and the right delivery address.

Quote requests

Drafted as NetSuite quotes with the same catalogue matching and pricing, ready for a rep to check and send.

Order status and amendments

"Where is my order?" gets a drafted reply. Changes to an order that has not been posted yet are applied to the draft.

Supplier invoices

Drafted as NetSuite vendor bills, one per invoice, matched three ways against the purchase order and the goods receipt. Disagreements are flagged, never guessed.

How it works

From inbox to posted transaction

  1. Arrive. Forward a mailbox, or a shared inbox, to Sales Enact. Per-inbox rules decide what is processed automatically and what waits for a person.
  2. Read. The email thread and its attachments are read: PDFs, scanned images, Word files and spreadsheets.
  3. Identify. The sender is matched to the customer or supplier in NetSuite, using addresses, forwarded headers, order references and your customer directory.
  4. Draft. A structured draft is built and validated. Lines that could not be resolved or details that disagree are marked "Needs attention" rather than filled in.
  5. Review. Your team works a queue split into "Ready to post" and "Needs attention". Bulk-post what is clean. Fix what is not.
  6. Post. One click creates the transaction in NetSuite with the source document attached. Every version, approval and post is recorded.
Controls

Built so finance will sign it off

No unattended posting

The agent cannot post, send, archive or assign. Creating a transaction or sending a reply needs an approved plan, and approved values are pinned so nothing changes after sign-off.

Full audit trail

Every draft version, every approval, every bulk run and every post is recorded against the original email.

Roles and permissions

Who may review, who may post, who may send. Single sign-on with Microsoft or Google.

Rules per inbox

Route by sender, subject or classification. Archive, label or assign automatically. Choose which inboxes run hands-off and which always wait for a person.

Customer-specific handling

Standing instructions for a customer live on their NetSuite record and are applied every time they email.

Quality you can measure

Every draft is compared with what was finally posted, so you can see exactly where the system needed help and watch it improve.

Requirements

What you need

NetSuite, with a small Sales Enact bundle installed in your account. A mailbox or shared inbox you can forward to Sales Enact. That is all. Your email system does not change.

On the roadmap: credit notes, supplier statements and remittances, and direct connection to Microsoft 365 and Google Workspace mailboxes so nothing needs forwarding.

Send us three real emails

A purchase order, a quote request and a supplier invoice. We will show you the drafts Sales Enact produces from them.
